Appendix A: Troubleshooting OS X Issues This chapter provides general hints for clients with direct access to the Xinet server. Some activities and applications require particular strategies to take full advantage of a Xinet server. We’ve included tips in this section intended to make your use of the server easier. The following topics are provided in this section: • Sending jobs off site to service bureaus • Working offsite with FPOs • Using Xinet CM • Xinet version management Sending jobs off site to service bureaus InDesign users should use its Package option when sending jobs off site to service bureaus. Here’s a strategy that works when you are not using InDesign: When you are ready to send the job to the service bureau, copy the folder containing the document and images from the high-resolution volume to your moveable media. Drag icons for the high-resolution volume and the FPO volume to the trash, and then open the copy of the document you’ve placed on the moveable media. Update links to the images. An alternative strategy once the document is complete would be to: 1. Unmount the FPO volume. 2. Open the document from the high-resolution volume and update the image links so they are pointing toward the images on the high-resolution volume. The critical point is that the document that is given to the service bureau must be linked to the high-resolution images used in the document. 3. Copy the folder containing the document and images from the high-resolution volume to your moveable media. Working offsite with FPOs Working with For Placement Only (FPO) assets allows the embedding of low-resolution versions of images in a file. This can lead to savings in storage and network bandwidth. The smaller images will be swapped out with the original images whenever the high-res data are needed. When you decide to work with low-resolution files, the server will automatically generate and store low-resolution for Placement Only (FPO) previews of images files placed on the volume. Non-image files may also reside on the volume. Most FPO’s are smaller and more efficient to use in layout updates and unlike high-resolution images, can’t readily be edited. Many sites use FPO’s for image-replacement workflows which rely on the server to replace the low-resolution placeholders with their high-resolution corollaries at the tail-end of production. These workflows may also make FPO’s available for downloading over the Web so that remote users can participate in document preparation and approval. While working on a file locally in the application it was created in, drag and drop asset images from Pilot into the layout. To open an FPO for a selected asset, open the Details view, click the Download icon below the thumbnail and select Download FPO. For more information, see Downloading Assets from Portal. Users may want to provide FPOs for use in layout offset, and then, for production, use Picture Wrangler to relink to the FPOs on the server. The easiest way to do this is to allow customers to download FPOs using Xinet, and then have them use Xinet again to upload the completed layout. If you do not have web-based services, there are two alternatives, described below. Option 1 If using a OS X client, copy FPOs to moveable media. Option 2 If you have a Xinet login, you can use the download low-resolution option to download FPOs for production use. Cautions Whichever method you use, you should be aware of a few issues. Make sure your co-workers or clients understand they are using FPOs. Some customers are surprised by the low-resolution images, especially if they are trying to make their own proofs. Also warn your off site customers away from editing the FPOs. The downloaded/exported FPOs are no longer copy-protected and can be edited. Any changes made to the exported FPOs will not be reflected in the high-resolution images on the server. Using Xinet CM Xinet CM provides the most benefits for those working in an environment running the Xinet Suite. You can find assets through your web browser using Xinet’s search engine, and then, using Xinet CM, reveal and open items in the Finder directly from your browser. This saves having to click through a series of folders in order to get to the asset that interests you. Simply hold down the Control key while you are clicking on the Xinet link. You can then reveal the asset’s location on the mounted volume or open either the high-resolution or FPO version of the file. Xinet CM also lets you navigate between the high-resolution and FPO views of files quickly and easily. From the Finder You can Control-click items inside Xinet volumes and see pop-up menus that allow you either to reveal the location of the corresponding “other view” or open the corresponding “other view;” i.e, when you Control-click fpos, resulting popup menu allows you to open the high-resolution version of the file, or reveal the high-resolution version in the Finder. The plug-in will mount the “other volume” if it is not already mounted. From Microsoft Safari and Firefox When browsing through Xinet or with Xinet search results, Control-clicking on file links will give you a pop-up menu that, if you have the appropriate Xinet volume mounted, allows you to reveal the selected object in the Finder or to “open” the selected object. Xinet version management When a Xinet server has been configured to keep versions of files, Xinet allows remote viewers with proper permissions to see the various versions through a Web browser, select a new “current” version for production use, delete versions, and download versions. (If you’re using Xinet Portal, see Managing asset versions for information about Xinet Portal’s built-in version mechanism.) Using Xinet to manage versions Xinet contains a Show Versions icon which, through its File Info dialog allows remote users with proper access privileges to: • Review all existing versions of a file. • Find out more information about any version. • Delete versions from the server. • Place versions in a Collection for downloading. • Make any existing version the current working version. (Your Xinet administrator must give you proper File Management permissions before this can work.) Let’s use an image called portrait6.tif and its version to take a tour of Xinet Version Management features: 1. We first use Photoshop and the Xinet Versioning plug-in to save several versions of a KISS-1976.jpg. 2. Then, we log onto a Xinet server, open the folder where the versions are saved, and click the File Info icon. 3. Locate the Show Versions icon. (It only appears when Xinet Versioning has already saved versions): 4. Clicking on the Show Versions icon will, in turn, opens the Version Management window. 5. Clicking the Make Working Version icon will make an older version the current working version—although, Xinet asks that one confirm the choice before reverting. A copy of the selected version becomes the new current version. The previous working version has been assigned a version number and appears as the latest version in the folder. 6. Clicking the trash icon beneath a version allows you to also delete any older version. 7. It is also possible to add any version to the shopping cart and then download it. Managing archived versions Sites using Xinet can also store previews and fpos of archived files and their versions. These will be visible in Web browsers, appearing just like “live” files there, except that the Make the Current Working Version option will not be available.
